What we hold, why we hold it, where it lives, and how to get rid of it.

Who controls your data

Aquilon Tech Ltd, Birmingham, is the data controller for everything held by the Academy. Write to hello@aquilontech.com about anything on this page.

What we hold if you have an account

Your name, email address and password. The password is stored only in scrambled form, so nobody here can read it.

What you tell us when you start, if you choose to: your firm, your role, the size of the business, the jobs you want off your desk and how much you use Claude. We use it to suggest where to start, and you can change it from your profile.

What you have enrolled in and which lessons you have completed, so your progress is there when you come back.

Assignments you submit, including any files you upload, and the feedback we send back. Files are kept in private storage that only you and the Aquilon team can open.

Your email settings, and a log of the emails we have sent you, so we can tell what reached you.

Payment records for anything you buy: what, when, how much. Card details are handled by Stripe and never reach us.

What we hold without an account

Lessons you mark complete before you sign up are remembered in your own browser, not by us. They move onto your account when you create one.

If you ask for a free workflow review, send us a message through the contact page, or ask to be told when a course opens, we keep what you entered in that form so we can reply. Review requests and messages also go to our team inbox.

Ordinary server logs, which include IP addresses, kept for a short period for security and diagnosis.

What we do not do

We do not sell your data, and we do not pass it to anyone for their own marketing.

We do not add you to a mailing list because you filled in a form. Course emails are about the course you are taking, and the optional ones can be turned off in your account.

Analytics

We may use Google Analytics to see which pages are read and which courses people start. It runs only if you accept it in the banner, and with its advertising features off. If you decline, or ignore the banner, it never loads.

Your choice is remembered in your browser. Clear the site's data to be asked again.

Where it lives

Account, progress, assignment and form data, and uploaded files, are stored with Supabase in its London region. The site itself runs on Vercel, also from London.

Payments go through Stripe. Email is sent through Resend from its Dublin region. Video, where a lesson has it, is hosted with Mux. Google Analytics, if you accept it, is run by Google. Each of those holds only what it needs for its part.

Some of these suppliers are based in the United States and may process data there. Those transfers rely on the UK's adequacy arrangements or the standard contract clauses in each supplier's own terms.

Why we are allowed to hold it

For account, progress, assignments and purchases, because we need it to give you what you have signed up for.

For replying to a form you sent, because you asked us to.

For server logs and fraud checks, because we have a legitimate interest in the site working and not being abused.

For anything optional, such as your starting-point answers and analytics, because you have chosen it, and you can withdraw that at any time.

How long we keep it

Account and course records, including assignments and uploaded files, for as long as you have an account.

Delete the account from the Your data page under Account and it all goes at once: profile, sign-in, progress, everything you sent in with its files, our replies, your email settings and the log of emails sent to you.

Stripe keeps its own record of each payment for six years, because the law requires it. That is the only record that outlives your account.

Form messages for as long as we need to answer them and follow up. Ask and we will delete one sooner.

Server logs for a matter of weeks.

Cookies and browser storage

We set the cookies needed to keep you signed in and to keep the site secure. Your browser also stores your analytics choice and, before you have an account, the lessons you have marked complete.

Google Analytics sets its own cookies, and only if you accept it. There is no advertising cookie and no cross-site tracking.

Your rights

You can download a copy of everything held against your account, and delete the account, yourself from the Your data page. For anything else, such as correcting a record, deleting a form message or objecting to how we use something, email hello@aquilontech.com and we will reply within a month.

If you are not satisfied with how we have handled something, you can complain to the Information Commissioner's Office at ico.org.uk.
